What is the object of the project?

The object of the project is the provision of travel services (transportation, handling, accommodation) in support of conducting on-site inspections during the execution of public procurement contracts. These services shall, at a minimum, include the following:

  • Provision of hotel accommodation in single or double rooms for up to one hundred and twenty-five (125) nights, as detailed in the Table below.
  • Hotel accommodation will include half board (breakfast and one meal, either lunch or dinner, upon prior agreement).
  • Purchase of airline, ferry and bus round-trip tickets – up to one hundred and sixty (160) round-trip tickets. The exact number of beneficiaries will be determined by the Contracting Authority, as detailed in the Table below.
  • Ticket and room bookings will be made in batches and their number and frequency will depend on the needs of the Contracting Authority and made upon its request to the contractor.
  • The Contractor must respond immediately to the requests that are deemed urgent by the Contracting Authority and in any case within twenty-four (24) hours from the submission of each request.
  • Option to change the date of the booking or the number of rooms/tickets.
  • The Contractor is obligated to submit a detailed monthly report of the services that have been provided. Tenderers must include a sample of this report along with their offer.
  • Cancellation option: Tenderers must describe their cancellation policy and procedure in detail, including deadlines and any applicable charges.
  • The Contractor is obligated to maintain strict confidentiality, to ensure non-disclosure of information to third parties and to keep confidential any information obtained during the provision of these services.

What are the purpose and objectives of the project?

The Contracting Authority, having undertaken projects of great value in terms of both financial and strategic importance for the Greek State, must take any measure deemed necessary and must consistently meet its obligations in order to ensure that public contracts are executed properly and that the deliverables meet the original goals and objectives of the contracts. The main tool for verifying the proper execution of a public contract are on-site and random inspections where justified by the nature of the contract. Therefore, now more than ever before, there is a greater and more pressing need to conduct inspections during the execution of the contracts, in order to promptly identify any shortcomings or contractor errors, or to confirm in writing via inspection reports the proper and lawful execution of the contracts. Moreover, a special provision for carrying out such inspections has been included in legislation concerning actions and projects implemented by the ‘Information Society’. One such example is Contract No. 2603/31-03-2025 between the Company ‘SPACE HELLAS S.A. – TELECOMMUNICATIONS, INFORMATION TECHNOLOGY & SECURITY SYSTEMS AND SERVICES – PRIVATE SECURITY SERVICES PROVIDER’ and the ‘Information Society SA’ for the project “Procurement of stations for emergency communications and provision of climate data of areas of interest (Radars)”, as amended and in force.
