What is the object of the project?

The object of the project consists in adopting state-of-the-art digital capabilities, utilizing new information and communication technologies, and ensuring the integrated and complete digital management of the material and functions of the Hellenic Civil Aviation Authority (HCAA), both internally and externally, supported by reliable and high-quality IT applications, as well as electronic infrastructure in general.

The following items will be provided as part of the project:

• Enterprise Resource Planning (ERP) System
• Digitization of the data and files of HCAA bodies, in order to be used by the new information systems that will provide e-services to professionals, businesses and public sector entities, either in the context of serving specific needs (frequent searches in records/books and/or retrieval of documents themselves) for individual files of high added value with a view to meeting HCAA’s daily needs, or in the context of preserving specific types of historical records which must be retained for a long time or specific types of records that are historically important. The following additional items will be provided as part of the project:

1. File categorization services
2. File entry services.
3. Metadata entry services (beyond three metadata).
4. Digital management services for digitized archives, e.g. separation of digital documents, automatic indexing of documents, retrieval of data from documents.
5. Electronic Document Management System.

• Training Management Application for handling training supervision activities in the aviation industry. It will be used by HCAA to ensure that air service providers comply with regulations and safety standards.

What are the purpose and objectives of the project?

The purpose of this project is to upgrade the infrastructure of HCAA data centers, digitize its archives and modernize the management of operational resources by procuring an integrated information system (ERP). Moreover, the operating method will be modernized and the safety of air transport will be optimized by using the Training Management Application.

By implementing the project described herein, HCAA aims to attain the following objectives:

• To ensure the highest possible level of availability and responsiveness of its applications
• To speed up internal processes through the use of an ERP system
• To cut down on the use of paper

What are the expected benefits of the project?

The implementation of this project will make a great contribution towards redesigning the way work is organized internally and strengthening the organization’s productivity through the new ERP system. In the internal environment of the project, the benefits will be visible to those directly involved, including:

• modelling and acceleration of operational processes;
• simplification of finding documents;
• savings in terms of time spent on filing and searching for documents;
• preventing document loss;
• preventing human errors in registration or recovery of documents;
• unnecessary use of paper;
• savings in terms of man-hours spent on the creation, management and maintenance of the archive;
• cutting down on the cost of consumables;
• savings in terms of storage space.

The digital modernization of the Hellenic Civil Aviation Authority is expected to improve its internal organization and the conduct of its operations. At the same time, it is expected to further cut down on the use of hard-copy documents, thus saving financial and natural resources, while also optimizing internal processes through the new ERP system, thus increasing productivity and reducing response times. Finally, as part of the project, the Contractor will also offer a training management application.
