Archive Digitalisation of the Ministry of Maritime Affairs and Insular Policy (Y.NA.N.P)"},"content":{"rendered":"<h5><strong>What is the object of the project?<\/strong><\/h5>\n<p>Object of the project are the following:<\/p>\n<ul>\n<li>Archive Digitalisation of the Ministry of Maritime Affairs and Insular Policy, and more specifically of the archives:<\/li>\n<\/ul>\n<ol>\n<li style=\"list-style-type: none;\">\n<ol>\n<li>of the Division of Ocean-going Shipping and more specifically the archive<\/li>\n<li>of ship registers of Piraeus Central Port Authority, the department of Ships Register and<\/li>\n<li>of the department of Registers of Maritime and Shipping Companies,<\/li>\n<li>of the Division for Field B Seafarers\u2019 Training, of the department Boatmasters\u2019<br \/>\nCertificates.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<ul>\n<li>The supply, installation and configuration of the system for the management of the digitalised archive.<\/li>\n<li>The provision of other services: control, separation, cataloguing, categorisation, registration, destruction and boxing and transport, where necessary, of the physical archive, as well as other services of digital management of digitalised archive, as, indicatively, separation of digital documents, automatic document indexing, extraction of data from documents.<\/li>\n<\/ul>\n<h5><strong>What is the objective of the project?<\/strong><\/h5>\n<p>Main aim of the project is the modernisation and improvement of the services of the Ministry of Maritime Affairs and Insular Policy, the Seafarers and the staff of the Ministry of Maritime Affairs and Insular Policy, engaged in the handling, control and monitoring of requests, as well as shipping companies and cooperating companies being direct beneficiaries, who will be able to utilise the archives for the faster and more effective service of their requests.<\/p>\n<p><strong>Categories of Beneficiaries<\/strong><br \/>\n\u2022 Seafarers<br \/>\n\u2022 Employees of the Ministry of Maritime Affairs and Insular Policy<br \/>\n\u2022 Control mechanisms<br \/>\n\u2022 Businesses<\/p>\n<p>More specifically, for each category of beneficiaries:<\/p>\n<p><strong>Seafarers<\/strong><br \/>\n\u2022 More direct and reliable access to the required information and documents<br \/>\n\u2022 More direct and reliable handling of their requests<\/p>\n<p><strong>Employees of the Ministry of Maritime Affairs and Insular Policy<\/strong><br \/>\n\u2022 Increase in the efficiency through faster handling of digital documents and faster access to information<br \/>\n\u2022 Possibility of greater engagement in other aspects of their employment, owing to the relief from handling tasks<br \/>\n\u2022 Reduction in the workload related to transactions with the public<br \/>\n\u2022 Overall upgrade of the working environment, through digitalisation<\/p>\n<p><strong>Control mechanisms<\/strong><br \/>\n\u2022 Increase in the efficiency through acceleration and reduction in the workload for the handling of cases<br \/>\n\u2022 Possibility of greater engagement in other aspects of their employment, owing to the relief from handling tasks<br \/>\n\u2022 Improved planning through greater predictability regarding the completion time of pending cases<br \/>\n\u2022 Resource savings owing to the decrease in the need for further communication for the<br \/>\nhandling of tasks<\/p>\n<p><strong>Businesses<\/strong><br \/>\n\u2022 Strengthening Security of transactions through the increase in speed and<br \/>\nreliability<br \/>\n\u2022 Resource savings through the use of digital services<\/p>\n<p><strong>Operation in a more reliable and competitive economic environment<\/strong><br \/>\n\u2022 Reduction of the uncertainty brought about by pending matters<\/p>\n<h5>What are the Expected Benefits from the implementation of the project?<\/h5>\n<p>The implementation of this project will play a decisive role in redesigning the internal organisation of work and the improvement of the productivity of the organisation. In the internal environment of the project, the benefits will be apparent to the direct beneficiaries and they include the following:<\/p>\n<p>\u2022 simplification of finding documents;<br \/>\n\u2022 time saving in archiving of and search for documents;<br \/>\n\u2022 prevention of document loss;<br \/>\n\u2022 prevention of human errors in registration or recovery of<br \/>\ndocuments;<br \/>\n\u2022 unnecessary use of paper;<br \/>\n\u2022 saving man-hours for the creation, management and maintenance<br \/>\nof the archive;<br \/>\n\u2022 reduction in the costs of using consumables;<br \/>\n\u2022 saving storage space.<br \/>\nAt the same time, the benefits from the implementation of the project, mainly for the ultimate beneficiaries and, in particular, the competent Public bodies:<\/p>\n<p>\u2022 interoperability of the systems and provision of digital services;<br \/>\n\u2022 provision of better quality services of high added value;<br \/>\n\u2022 decrease in the request completion time;<br \/>\n\u2022 accurate information and reducing margin of error;<br \/>\n\u2022 decrease in administrative costs;<br \/>\n\u2022 decrease in the transactions per result;<br \/>\n\u2022 decrease in response times and automation of procedures;<br \/>\n\u2022 transparency and reliability;<\/p>\n<p>The digital modernisation of the Ministry of Maritime Affairs and Insular Policy is expected to improve the internal organisation and performance of tasks, but also to facilitate the stakeholders, such as, for instance, seafarers, shipping companies, and cooperating professionals in the execution of their requests.
